Who we are

This website is operated by Livan Digital Solutions. We are the data controller for the personal
information described on this page.

We are not VAT registered. If you want any of the information below in another format, ask us
and we will send it to you.

The short version

We are a small development studio, not an advertising business. We do not sell your data, we do
not buy mailing lists, and we do not build advertising profiles. The personal information we hold
falls into two groups: enquiries from people who contact us, and anonymous statistics about how
this website is used.

What we collect, and why

When you contact us

Our contact form asks for your name, email address and your message. If you message us on
WhatsApp we will hold that conversation and your phone number. We use this to answer you, to quote
for work, and to keep a record of what was agreed.

Lawful basis: taking steps at your request before entering into a contract, and
our legitimate interest in responding to enquiries about our services.

When you become a client

We hold the contact details of the people we work with, the project correspondence, invoices and
payment records, and any credentials you give us to do the work. Where we are given access to your
site we may also see personal data belonging to your customers — in that situation you are
the controller and we act as your processor, under the terms of our written agreement with you.

Lawful basis: performance of our contract with you, and our legal obligation to
keep accounting records.

When you browse this website

Our server keeps standard access logs, including your IP address, browser and the pages you
requested. These are used for security and to diagnose faults. With your consent we also use Google
Analytics to understand which pages are read and where visitors arrive from.

Lawful basis: our legitimate interest in keeping the site secure and working for
server logs; your consent for analytics and any other non-essential tracking.

Who else handles your information

We use a small number of established suppliers. Each one only receives what it needs to do its job.

  • Brevo — sends the email this site generates. Sees your name, email address and message.
  • Google Analytics and Tag Manager — website statistics. Sees anonymous usage data, and only if you consent.
  • Google Search Console — how the site performs in search. Sees aggregated search data, never individuals.
  • Trustindex — displays our Google reviews. Sees nothing about you; it loads review text and reviewer photos from Google.
  • WhatsApp (Meta) — chat, if you choose to use it. Sees your phone number and messages, under Meta’s own privacy policy.
  • Our web host — runs the website. Sees server logs including your IP address.

We will disclose information without your consent only where the law requires it.

Where your information is held

Livan Digital Solutions is a remote business and we work from South Africa. When you send us an
enquiry, sign up as a client, or email us, that information is read and stored there as well as in the
UK-based and EU-based systems listed above. South Africa is not covered by a UK adequacy decision, so
we do not rely on one: we apply the standards set out in this policy to your information wherever it
sits, and we never sell it or pass it on beyond the suppliers named above.

Those suppliers also process data outside the United Kingdom. Where that happens we rely on the
safeguards they have in place, such as the UK Addendum to the European Commission’s standard
contractual clauses, or a UK adequacy decision covering the country concerned. You can ask us which
safeguard applies to a particular supplier and we will tell you.

How long we keep it

  • Enquiries that do not become work: up to 12 months, then deleted.
  • Client records and correspondence: for the life of the relationship and 12 months after it ends.
  • Invoices and accounting records: six years, because HMRC requires it.
  • Server logs: typically 30 days.
  • Analytics: in aggregate only, retained by Google under the settings on our account.

Cookies

Cookies that are strictly necessary — the ones that keep the site secure and remember your cookie
choice — are set automatically, as the rules allow. Everything else, including analytics, is set
only after you agree. You can change or withdraw your choice at any time using the cookie settings
link on this site, and you can clear cookies in your browser at any point.

Your rights

Under UK data protection law you have the right to ask us for a copy of the information we hold
about you, to have it corrected or deleted, to restrict or object to how we use it, and to receive
it in a portable format. Where we rely on your consent, you can withdraw it at any time without
affecting anything we did beforehand.

will respond within one month. We will not charge you for this.

Complaints

If you think we have handled your information badly, please tell us first so we can put it right.
You also have the right to complain to the Information Commissioner’s Office at

Changes to this policy

If we change how we handle personal information we will update this page and change the date
below. Material changes affecting existing clients will be sent to you by email.
